As organizations grow, HR teams face an increasingly difficult challenge: delivering timely, accurate, and consistent support to employees across distributed teams, while managing the operational burden of repetitive, high-volume queries. Policy lookups, payroll questions, onboarding guidance, and leave management requests flooded HR inboxes, creating bottlenecks that slowed employee experience and diverted HR capacity away from strategic priorities.

 

Aziro addressed this challenge by designing and deploying an AI-native enterprise assistant built specifically for HR operations. The solution combines adaptive retrieval-augmented generation (RAG), a LangGraph-powered modular agent graph, and seamless integration with HR and enterprise systems to deliver instant, context-aware, and always-on employee support.

Challenges

Where Communication Gaps and Manual Overhead Created Bottlenecks

As the organization scaled its workforce, the HR team encountered significant operational friction in managing employee interactions, knowledge delivery, and support workflows.

 

  • Slow and Inconsistent Query Resolution: Employees, particularly new joiners, relied on static HR documents, scattered wikis, and email threads to find answers to basic questions around policies, payroll, and benefits. Response times were inconsistent, often stretching from hours to days, creating frustration and reducing employee confidence in HR operations. 
     
  • High Volume of Repetitive HR Tickets: A large proportion of HR support tickets involved low-complexity, high-frequency queries, including leave balances, reimbursement policies, onboarding checklists, and payroll timelines. These repetitive interactions consumed significant HR bandwidth, limiting the team's capacity for more strategic people initiatives. 
     
  • No Always-On Self-Service Layer: Employees working across time zones or outside standard business hours had no reliable way to access HR information without waiting for human availability. This created a persistent support gap that impacted productivity and onboarding quality. 
     
  • Fragmented Knowledge and Document Access: HR knowledge was spread across multiple systems, including internal wikis, policy documents, Keka HR platform records, and email archives. Without a unified retrieval layer, both employees and HR staff struggled to locate accurate, up-to-date information quickly.

Adaptive RAG and LangGraph Agent Architecture At the core of the solution is an adaptive retrieval-augmented generation (RAG) engine combined with an explicit LangGraph agent graph. This architecture enables the assistant to:

  • Route queries intelligently across specialized agent nodes, covering policy lookup, payroll queries, onboarding assistance, and alert management
  • Extend modularly as new HR domains or data sources are added, without rebuilding core workflows

 

  • Always-On, Secure Enterprise Access: The assistant is available 24/7 across web and mobile interfaces, delivering on-demand HR support to employees regardless of time zone or working hours. The system is designed with enterprise-grade security to ensure safe handling of sensitive HR data, including payroll records, policy documents, and employee-level information. 
     
  • Multi-Cloud, Multi-LLM Flexibility: The solution is containerized and deployable across AWS, Azure, and GCP, giving organizations full infrastructure flexibility. The LLM backend supports interchangeable endpoints, including OpenAI and Groq, enabling teams to optimize for cost, latency, or capability. The Groq backend provides ultra-low-latency inference for real-time employee interactions. 
     
  • React SPA Frontend with Session Persistence: The employee-facing interface is built as a React Single Page Application (SPA) with session persistence, ensuring continuity across multi-turn HR conversations. Employees can ask follow-up questions, refine requests, and receive coherent, contextually aware responses throughout each session. 
     
  • Kubernetes-Orchestrated Microservices: The platform is built on containerized microservices orchestrated via Kubernetes, enabling horizontal scalability, resilient deployment, and consistent performance across high-concurrency HR support scenarios.
